Center for Sight’s Director of Operations Preston Rawlings shares his experiences and challenges growing a small business to a multi-location organization and how the cloud helped.

In this interview, I spoke with Preston Rawlings, Director of Operations for Center for Sight. Read on to discover how his business expanded with Effortless.
Meline: What were some of the technological challenges you experienced as a small company growing into a multi-location enterprise?
Rawlings: We started with just a few IT people that we were sharing with another company. We were moving around from the two offices with traveling staff and hardware, and we had servers and computers all over the place. As the doctors traveled from each office, they were forced to take flash drives and lose work and time.
Meline: How did Effortless help?
Rawlings: The Effortless Desktop is truly impressive – when I describe it to people who have never experienced an Effortless Desktop, they don’t get it. But when I sit down and show them, they say, “Oh my god, this is so cool!”
With the way the doctors see patients now, they are not in their own rooms all day, so – before Effortless – they would have to log out and log in each time. Then came Effortless, which was a huge change. The doctors physically move around, but whatever screen they go to, everything is right where they left it.
Meline: Are there any decisions you think you made well that helped your growth? Any decisions that hindered?
Rawlings: Something that everyone in growth mode needs to consider is to be sure you define the roles of leadership roles as you grow. Throwing someone into a position based on their personality and the fact that they are a go-getter doesn’t always give you the best outcome.
It’s important to have the difficult conversations. Talk about challenges. Flesh out any goals – no matter how overly ambitious they may be – at the get-go. When things go unspoken, it creates problems. Sometimes leadership just needs to sit down and ask questions like: “What’s the most important thing here?” and “What’s the first thing we need to do to make that happen?” When things get crazy, that more basic mindset can make it easier to step forward.
Meline: What are three things you wish someone told you at the outset of your business
Rawlings: 1. Keep a journal. Even if it is just four or five sentences that you jot down every once in a while – have the data documented on your organization. This isn’t useful just for HR or discipline, it’s great for the story of your company! It would have been cool to even go back to the start and compare that to the now.
2. Be hyper-critical about assigning your leaders, managers, and key partners – including your technology partners. Just putting people in a seat because they fill a void isn’t the way. Take the time, and don’t settle for anything less than what you want. When looking for vendors or people to fill a role, take that time you need to make the right decision. If you think you will have more time to spend later to find the right fit, just stop and take another week to vet if you need it. That time won’t ever come later.
3. Being efficient doesn’t always mean rushing. I remember when I met with our solutions engineers over at Effortless, and we were in crazy-growth mode. We wanted to push forward with something that wasn’t a good fit for us just to get the task off my plate. The engineer said to me, “Look, you’re already scrambling, what’s a few more days to not have to push this can down the road?” And he was right. His team helped us so we didn’t mask the issue, and we actually got a solution that was right for us.
Meline: What advice do you have for growing businesses as far as setting themselves up for success with technology?
Rawlings: Definitely go with a company that you trust.
It’s when things are down that you really get to know how good a technology solution is. For example: for us here, if an exam room is down, everything is on hold until that room is back up. We are literally stopping everything until we get the room back online. So we had to set standards around what were the highest priorities. Take the time for a true on-boarding, and make sure the vendor you use has a trusted on-boarding path.
Make sure your technology provider applies the “why” to your business goals. To a casual observer, our system might not look like much. But it’s a system that was designed around the “why” by Effortless to match our goals.
Take the time to slow down and understand that there is a system out there that will foster the results you want. For example, when we opened our new call center a few years ago, we knew the outcomes we wanted. Effortless supported us from every aspect with getting the solution we needed. Some goals we didn’t even know we had! For example when we first looked at the reporting, we had a 14% call abandon rate. Now I am sending emails out if we even have a 1%, so find solutions that can give you bigger and better goals!
